Project & Operations Coordinator

Salary: £32k - £38k pa.

Join Light Trace and play a central role in how the company executes. You’ll work directly with management to bring structure, visibility, and momentum to a growing organisation developing a disruptive integrated photonic product at the intersection of AI, quantum, and advanced hardware. This is a hands-on role with real ownership, where your work will help shape how projects are run across the entire company.

About the Role

We are seeking a highly organised and proactive Project & Operations Coordinator to oversee project tracking and coordination across the wider team. You will be responsible for improving, reporting, and maintaining project structure, ensuring deliverables, timelines, budgets, and capacity are visible and well-managed. As one of the first operations team members, there is an opportunity to help define how work gets done effectively as the company grows.

What You’ll Do:

  • Owning company-wide project management system (primarily Trello), ensuring it is up to date, structured according to standard procedures, and effective;

  • Spinning up new projects with pre-defined scopes, timelines, deliverables and milestones;

  • Tracking deliverables, budgets, and timelines across active projects;

  • Monitoring capacity and workload across teams, highlighting evolving delivery risks and constraints;

  • Producing clear project status updates and summaries for leadership; and

  • Ensuring follow-through on decisions, actions, and commitments.

Core Responsibilities:

  • Maintain end-to-end visibility of all active projects across the company.

  • Track milestones, deliverables, budgets, timelines, and dependencies;

  • Maintain and improve clear project structures, workflows, and reporting;

  • Own and continuously improve Trello boards and project tracking processes;

  • Support leadership with accurate, timely insight into project progress, risks, and capacity;

  • Help establish operational best practices as the company scales.

Core Skills & Abilities:

  • Strong organisational and project coordination skills, with the ability to track multiple projects in parallel;

  • Experience in a project coordination, operations, or delivery-focused role, ideally in a technology or engineering-led environment;

  • Comfortable owning and maintaining project management tools (experience with Trello or similar tools is important);

  • Ability to track and report on deliverables, timelines, budgets, and capacity;

  • Clear and confident communicator, able to work effectively across departments and with senior leadership;

  • Highly proactive, detail-oriented, and reliable in following through on commitments; and

  • Comfortable in a fast-moving, early-stage environment with evolving priorities.

Nice to Haves:

  • Experience as an early operations hire or in a startup environment;

  • Experience helping define or improve operational processes and project workflows;

  • Interest in building structure and systems from the ground up.
